Patrick Brompton Community Events Committee Minutes 12.09.2016
 
The meeting was held at Ivy Cottage and opened at 3pm.
 
 
  1. Apologies & Approval of minutes of last meeting
In attendance : Margaret Chapman, Judith Cockburn, Pete Philpott, Sue Philpott, Wendy Shepherd, Helen Whitehead, Judi Johnson, Judy Norman.
Apologies from: Linda Cork and Penny Vernon.
 
The minutes from the last meeting were accepted as a true record and signed off by the Chair.
 
  1. Matters arising.
None
 
  1. Treasurer’s Report – JJ
JJ presented a report of figures for September. The September Coffee morning raised a total of £147.80, £66.40 for the Church and Events funds after costs. The Film night raised £40 and the Craft group raised £8. The balance held in the Bank Account is just over £1000 (A D approx. £280). The full year’s total are to be presented at the next meeting.
Thank you to JJ for preparing and presenting the Treasurers Report.
 
  1. Feedback from Coffee Morning in September
There was a good turnout despite the bad weather. We had another 20 mugs (thanks to HH for purchasing, Atkinson Clark Trust for buying) this now seems to be plenty. It was agreed that the same Coffee Rota for this year would be used again for 2017 and any people wanting to change their dates would do so themselves by ringing round.
*WS to ask LC when she returns from her hols.
 
  1. Spending plans
Phone Box: To be sandblasted shortly. The Council have requested a donation towards the cost of paint in addition to the £200 already donated. It was agreed that the AD money should be used for the phone box but as to exactly how much would depend on costs. *WS to speak to Robert for a break down of cost and to ask how much the Parish Council is contributing.
Village Sign: The Council are still awaiting a meeting to discuss further.
Bulbs: WS has identified the location for the bulbs in readiness for the bulb planting being held in October. WS purchased 800 bulbs at a cost of £30 and MC has purchased 450 bulbs at a cost of £35.99 plus £9 spent on bulbs already planted around the tree on the green. It was felt that £74.99 was enough to spend for this year. We are still awaiting a license for planting which we hope will arrive in time.
 
  1. Film Night and film selection group feedback:- WS, PP
WS reported that the new equipment seemed to work fine although the speakers were a little bit “tinny”. The Film Selection Group met and discussed the selection for the remainder of the year which is as follows:
September – Florence Foster Jenkins
October – Arsenic and Old Lace
November – Bridge of Spies
December – It’s a Wonderful Life (to be shown on 9th December)
Fliers to be produced advertising the film list to create more interest. These will be displayed on the notice boards in Patrick Brompton & Newton le Willows.
Film License: PP has spoken to the Council Officer in charge of licensing and it has been agreed that we do not need an entertainment license.
 
  1. Murder Mystery Night - WS
So far 49 tickets have been sold plus 7 actors to be catered for leaving a total of 56 people to be catered for. The majority of monies have been paid and all promised to be in a.s.a.p. A table plan was agreed and WS to produce a hard copy for the night.
WS to email Harriet to find out the time the actors require access to the Hall.
Serviettes (pack of 100) – HH to get from Ikea
Flowers (2 bunches) – JAC to get these from Aldi
Raffle prizes – 2 from each person please
Cream (3 large single) – JAC to get from Aldi
It was also agreed who would provide Apple Pies or Trifles:

We will advertise the next films and The Wine Tasting by providing fliers for each table.
 
  1. Church Christmas Fayre – 26th November
WS has had a thank you for our offer of help but no further communication from the Church. JN to present an update at the next meeting along with detail about a possible Christmas Tree Festival and help with the weeding of the Church footpath.
 
  1. Requests for Events - updates
Bulb Planting – Two sessions, 10-12 noon with coffee at 11am provided by MC at Kirkpatrick. 2 - 4pm with tea at 3pm provided by SP at East View. Thank you to both.
To meet at the Village Schoolroom at the beginning of each session.
Wensleydale Railway Coffee Morning – 22nd October. The venue has now been changed to Patrick Brompton Schoolroom in view of the costs at Newton Village Hall. JAC has changed the booking. JAC/ HW/ MC to run, with NHC on Raffle.
WS to make fliers to promote the event and JAC has agreed to distribute. Baking was sorted.
Beetle Drive – update next month
Carol Singing – Bryan has agreed that we can serve mince pies in the pub afterwards.
Wine Tasting – update at the next meeting.  MH to make tickets in time for Murder Mystery Night.
Quiz Night – January 2017 in the Village Schoolroom, Bryan to provide pie and peas.
70’s Night – 11th March 2017, Brian has agreed to do the food. Thank you to Pete for looking into whether a licence is needed. No licence is required.

  1. Parish Council Matters - PP
Next meeting to be held on 21st September. PP was given a list of articles to take to the meeting on our behalf; Grass cutting, Signs at Hackforth Rd, De-fibrulator, Phone box, Flagpole and the Planting license.
 
  1. Date /location next meeting
The meeting concluded at 5pm, with thanks to Judi.
The next meeting will be on Monday 24th October at 3pm, at Wendy Shepherd’s House, Grey Roofs, Hackforth Road.
